HolaSpain acts as an intermediary between clients and third-party providers, including educational institutions, accommodation providers, insurance companies, and sports programme organisers.
2. Nature of Our Role
HolaSpain does not directly provide educational, accommodation, insurance, or sporting services. Refunds are therefore subject to the terms and conditions of the relevant third-party provider, as well as any non-recoverable costs already incurred on your behalf.
3. Educational Programmes
3.1 Registration Fees
Registration or administrative fees are generally non-refundable unless otherwise explicitly stated in writing.
3.2 Tuition Fees
Tuition refund policies are determined by the individual educational institution. Refund eligibility may depend on factors including the date of cancellation, the course start date, visa outcome, and school-specific refund rules.

3.3 Late Cancellation
Cancellations made shortly before the course start date may be subject to partial or full loss of tuition fees in accordance with the school’s policy, including where places have been reserved, course materials have been issued, or administrative processing has been completed.
4. Visa Refusal
If a student’s visa application is officially refused, a refund may be available subject to the provision of official written visa refusal documentation, submission within required deadlines, and the applicable school-specific refund rules. Administrative or registration fees are typically non-refundable.

Visa application costs, embassy fees, translation/legalisation fees, courier charges, and other third-party charges are not refundable by HolaSpain.
5. Insurance Policies
Insurance cancellations are governed strictly by the terms and conditions of the relevant insurance provider. Cooling-off periods, cancellation rights, and refund eligibility are determined by the insurer, and HolaSpain cannot override or modify insurance contract terms. Where permitted, any insurance refund is subject to insurer approval and may be reduced by administrative costs or used-period charges in accordance with the policy.
6. Accommodation
Accommodation cancellation policies vary by provider. Deposits for accommodation may be non-refundable, notice periods may apply, and cancellation charges may increase closer to the arrival date. Where accommodation has been booked on your behalf, some or all payments may be non-recoverable depending on supplier terms.
7. Group & Sports Programmes
7.1 Individual Participants
Cancellation terms for individual participants in group or sports programmes depend on confirmed bookings with suppliers and the extent to which costs have already been committed or paid.
7.2 Group Bookings
Group bookings may require a non-refundable deposit. Cancellation charges may apply based on the notice period, supplier contracts, and prepaid services. Certain payments made to third-party providers may be non-recoverable, particularly where facilities, accommodation blocks, transport, or staffing have been reserved.

8. Force Majeure
HolaSpain shall not be liable for cancellation, modification, or failure to perform services due to events beyond reasonable control, including but not limited to natural disasters, pandemics, government restrictions, war or civil unrest, and transport disruptions. Refunds in such cases depend on supplier recovery and contractual obligations, and may be limited by non-recoverable third-party costs.

9. Refund Processing
Where a refund is approved, refunds will be processed to the original payment method where possible. Bank transfer fees, payment processor fees, and currency conversion losses may not be recoverable. Refund processing times may vary depending on third-party provider timelines and banking processes.

10. Administrative Charges
HolaSpain may retain reasonable administrative fees for services already performed prior to cancellation, including but not limited to application processing, supplier coordination, document issuance, and payment handling.
11. No-Show Policy
Failure to attend a programme, accommodation check-in, or scheduled services without prior written cancellation may result in full loss of fees.
12. Amendments & Changes
Requests to modify bookings may be subject to availability, additional fees, and supplier approval. Changes may not be possible where supplier terms prevent modification or where services have already commenced.

13. Disputes
Refund disputes must be submitted in writing to info@holaspain.agency, including supporting documentation. HolaSpain will review disputes in good faith; however, final refund decisions may depend on third-party provider policies and recovery of non-refundable costs.
14. Governing Law
This Cancellation & Refund Policy is governed by the laws of Ireland, and any disputes shall be subject to the exclusive jurisdiction of the Irish courts.
